Privacy Policy
Effective date: October 21, 2026 | Last updated: October 21, 2026
Saltwater Wellness (“Saltwater Wellness,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains what information we collect through saltwater-wellness.com and related online channels (together, the “Website”), how we use and protect it, who we share it with, and the choices and rights you have. Please read it together with our Terms & Conditions.
1. Scope of This Policy, and How It Relates to Your Health Information
This Policy applies to information we collect from visitors to the Website, including people who contact us, request an appointment, subscribe to updates, or interact with us online.
Patient health information is handled separately. If you become a patient, the health information we create or receive about you in providing care (“protected health information” or “PHI”) is governed by the Health Insurance Portability and Accountability Act (“HIPAA”) and by our Notice of Privacy Practices, which we provide at your first visit and on request. If this Policy and our Notice of Privacy Practices differ for PHI, the Notice of Privacy Practices controls. Information you submit through the public pages of the Website before you are a patient is generally not PHI, but we still treat it with care.
2. Please Do Not Send Medical Details Through the Website
Website contact forms, standard email, and standard text messages are not secure channels for sensitive health information. Please do not include diagnoses, symptoms, medications, lab results, insurance details, or other medical information in a form, email, or text message. To discuss your care, call our office at (503) 689-1228 or wait for your visit. If you choose to send health information through an unsecured channel, you do so at your own risk.
3. Information We Collect
Information you provide to us
- Contact and appointment requests: name, email address, phone number, preferred contact method, and the content of your message.
- Communications: records of emails, calls, text messages, and form submissions you send us and our replies.
- Marketing preferences: your choice to receive or stop receiving newsletters, offers, or text messages.
- Reviews and feedback: information you choose to post about us on third-party review platforms that we display or link to.
Information collected automatically
When you visit the Website, we and our service providers may automatically collect technical and usage information, such as IP address, device and browser type, operating system, language, referring and exit pages, pages viewed, links clicked, date and time of visits, and approximate location derived from your IP address. We collect this through cookies, log files, and similar technologies (see Section 6).
Sensitive information
We do not intend to collect sensitive personal information through the public Website. Information about a person’s physical or mental health condition or diagnosis is sensitive information. If you voluntarily include it in a message, we will use it only to respond to you and to provide or arrange care, and we will not use it for advertising.
Information from other sources
We may receive information about you from service providers that help us operate the Website, from review or business-listing platforms, and from publicly available sources.
4. How We Use Information
- To respond to your questions and schedule or manage appointments and consultations;
- To provide, operate, secure, and improve the Website and our services;
- To send administrative messages, such as appointment confirmations and reminders;
- To send marketing communications, where permitted by law and, where required, with your consent;
- To understand how visitors use the Website and to measure and improve content and performance;
- To detect, prevent, and respond to fraud, abuse, security incidents, and other harmful activity;
- To comply with legal, regulatory, accounting, and professional obligations, and to establish or defend legal claims; and
- For other purposes described to you at the time of collection or with your consent.
5. How We Share Information
We do not sell your personal information for money. We share information only as described here:
- Service providers. Companies that help us run the Website and our business, such as website hosting and security, email and form delivery, scheduling, communications, analytics, and review-display providers. They may use your information only to perform services for us, and we require appropriate confidentiality and security commitments. Where a provider handles PHI for us, we enter into a business associate agreement as HIPAA requires.
- Professional and legal advisers, such as attorneys, accountants, and insurers, when needed.
- Legal and safety reasons. To comply with law, regulation, subpoena, or court order; to respond to lawful requests from public authorities; or to protect the rights, property, or safety of our patients, visitors, staff, or the public.
- Business transfers. If Saltwater Wellness is involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction, subject to this Policy and applicable law.
- With your direction or consent.
We do not share PHI for marketing, and we do not sell PHI. We do not knowingly use personal information collected on the Website for cross-context behavioral advertising.
6. Cookies, Analytics, and Tracking Technologies
Cookies are small files placed on your device. We and our providers may use cookies, pixels, log files, and similar tools to keep the Website working, remember preferences, protect against abuse, measure traffic, and understand which content is useful. These tools may collect information such as your IP address, device identifiers, and pages visited.
- Essential cookies support security, page loading, and basic functions.
- Analytics and performance tools help us understand aggregate usage of the Website.
- Embedded third-party content (such as maps, videos, or review widgets) may set its own cookies when you view it.
Your controls. You can block or delete cookies in your browser settings, although parts of the Website may not work as intended. You can also use the opt-out tools offered by analytics providers. We honor opt-out preference signals, such as Global Privacy Control, where applicable law requires. We aim to keep third-party advertising and analytics tools off pages where you submit health-related information. A cookie notice or this Policy does not, by itself, authorize the disclosure of PHI to a tracking vendor.
Our Website does not currently respond to browser “Do Not Track” signals other than as described above, because there is no common industry standard for them.
7. Email and Text Message Communications
Email. You can unsubscribe from marketing emails at any time using the link in the message or by contacting us. We may still send you non-marketing messages, such as appointment confirmations.
Text messages. We send marketing text messages only with your prior express written consent, which is never a condition of purchasing any service. Appointment reminders and similar messages are sent according to the preferences you give us. Message and data rates may apply, and message frequency varies. You can opt out at any time by replying STOP, and reply HELP for help. We do not sell or share mobile phone numbers or text-message opt-in data with third parties for their own marketing. Because standard texting is not secure, please do not send health details by text.
8. Your Privacy Rights and Choices
Depending on where you live and the law that applies, you may have some or all of the rights below with respect to personal information that is not PHI. We will not discriminate against you for exercising them.
- Access and portability: confirm whether we process your personal information and obtain a copy, in a portable format where feasible.
- Correction: ask us to correct inaccurate information.
- Deletion: ask us to delete personal information, subject to legal and record-keeping exceptions.
- Opt-out: opt out of the sale of personal information, targeted advertising, and certain profiling. We do not engage in these practices as described in Section 5.
- Withdraw consent: where we rely on your consent, you may withdraw it at any time.
- Appeal: if we decline your request, you may appeal (see below).
Oregon residents. Under the Oregon Consumer Privacy Act, to the extent it applies to us, you may also request a list of the specific third parties to which we have disclosed your personal information. Oregon law does not apply to PHI governed by HIPAA, which is handled under our Notice of Privacy Practices.
How to make a request. Email info@saltwater-wellness.com, call (503) 689-1228, or write to us at the address in Section 15. We may need to verify your identity before responding. We will respond within 45 days, and we may extend that period once by another 45 days when reasonably necessary, and we will tell you if we do. You may make a free request once every 12 months.
Appeals. If we deny your request, you may appeal by replying to our decision or emailing us with the subject line “Privacy Appeal.” We will respond in writing within 60 days with our decision and the reasons. If your appeal is denied, you may contact the Oregon Attorney General’s office to submit a complaint.
HIPAA rights. As a patient, you have separate rights over your PHI, including to access, request amendment, request restrictions, receive an accounting of disclosures, and request confidential communications. These are described in our Notice of Privacy Practices.
9. Data Retention
We keep personal information for as long as needed for the purposes in this Policy, to meet legal, tax, and professional record-keeping requirements, to resolve disputes, and to enforce our agreements. Medical records are kept for the periods required by Oregon and federal law. When information is no longer needed, we delete or de-identify it.
10. Security
We use administrative, technical, and physical safeguards designed to protect personal information, such as access controls, encryption in transit through HTTPS, and security monitoring. No method of transmission over the internet or electronic storage is completely secure, so we cannot guarantee absolute security. If we become aware of a breach affecting your information, we will notify you and regulators as required by law.
11. Third-Party Websites and Services
The Website may link to or embed third-party sites and services, including social media, map, scheduling, and review platforms. We do not control them and are not responsible for their privacy practices. Please review their policies before sharing information with them.
12. Children's Privacy
The Website is intended for adults and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, contact us and we will delete it. Treatment of minors is handled in the office with a parent or legal guardian.
13. International Visitors
The Website is operated from the United States and is intended for people in the United States. If you access it from elsewhere, your information will be processed in the United States, where privacy laws may differ from those in your country.
14. Changes to This Policy
We may update this Policy from time to time to reflect changes in our practices, technology, or the law. We will post the updated version on this page and revise the “Last updated” date. If a change is material, we will provide additional notice where required. Your continued use of the Website after an update means you accept the revised Policy.
